Activity Notifications

Use the District Activity Approval Form to notify and gain approval for activities taking place away from your usual meeting place, or those involving adventurous or externally provided activities. This process helps ensure activities across South West Cheshire are planned safely, approved consistently, and reviewed by the appropriate volunteers. Complete the form once your programme planning is finalised.

    What about nights away notifications?

    There is no change to the Nights Away process. Nights Away Notifications must still be submitted via scouts.org.uk.

    When do I need to submit the form?

    You must submit the District Activity Approval Form if your activity:

    • Takes place away from your section’s usual meeting placeor
    • Involves an adventurous activityor
    • Is externally led or provided

    You should aim to submit the form at least seven days prior to the date of your activity to allow time for your submission to be reviewed and approved.

    What is the approval process?

    1. Plan your activity and finalise your programme
    2. Complete the District Activity Approval Form
    3. Provide additional details if prompted (for example, risk assessments)
    4. The activity is reviewed by the appropriate approver
    5. You’ll receive an email confirmation:
      • When the form is submitted
      • When the activity is approved

    Approval responsibilities are clearly defined between:

    • Group Lead Volunteers
    • The 14–24 Team Leader
    • District-level approvers
